STANDARD POLICIES MANUAL

1. PURPOSE & GOVERNANCE

1.1 Purpose

The Canadian Karate Kung Fu Association (“CKKA”) exists to:

  • Promote martial arts training, discipline, and education
  • Provide safe, inclusive, and respectful training environments
  • Preserve traditional martial arts values while adapting to modern standards

1.2 Legal & Governance Framework

CKKA operates in accordance with:

  • The Ontario Not-for-Profit Corporations Act
  • Applicable Canadian laws and regulations

Directors must act:

  • Honestly and in good faith
  • In the best interests of the organization

2. CORE VALUES

All members (students, instructors, officials, and board members) must uphold:

2.1 Respect

  • Respect for instructors, students, opponents, and the public
  • Zero tolerance for harassment, discrimination, or abuse

2.2 Integrity

  • Honesty in rank, teaching, and representation
  • No misuse of authority or position

2.3 Discipline

  • Commitment to self-control, perseverance, and continuous improvement

2.4 Safety

  • Physical and emotional safety of all participants is paramount
  • Alignment with “Safe Sport” principles used across Canadian sport organizations

2.5 Accountability

  • All members are responsible for their actions
  • Leadership must model ethical behaviour

3. CODE OF CONDUCT & ETHICAL STANDARDS

A Code of Conduct is required for all nonprofits to ensure ethical behaviour and accountability

3.1 General Conduct

All members must:

  • Act respectfully and professionally
  • Follow all rules, policies, and instructor guidance
  • Avoid behaviour that harms the reputation of CKKA

3.2 Prohibited Conduct

Includes, but is not limited to:

  • Harassment, bullying, discrimination
  • Abuse (physical, emotional, verbal, or sexual)
  • Hazing or unsafe training practices
  • Fraud, theft, or misuse of funds
  • Misrepresentation of rank or credentials

3.3 Conflict of Interest

  • All board members and instructors must disclose conflicts
  • Individuals must not use their role for personal gain

4. DISCIPLINE & COMPLAINTS POLICY

This is mandatory for sport organizations and must include fair, independent processes


4.1 Purpose

To provide a fair, transparent, and consistent process for addressing misconduct.


4.2 Scope

Applies to:

  • Students
  • Instructors
  • Officials
  • Volunteers
  • Board members

4.3 Reporting a Complaint

Complaints may be submitted:

  • In writing (email or form)
  • To a designated Complaints Officer or independent third party

Complaints should include:

  • Description of incident
  • Date/time/location
  • Names of involved parties
  • Any supporting evidence

Anonymous complaints may be accepted where appropriate.


4.4 Protection from Retaliation

  • No individual shall face retaliation for making a complaint in good faith
  • Retaliation will result in disciplinary action

4.5 Initial Review

The Complaints Officer will:

  • Determine if the complaint falls within policy
  • Assess severity (minor vs serious)
  • Decide next steps

4.6 Investigation Process

For serious matters:

  • An impartial investigator may be appointed
  • All parties will have opportunity to respond
  • Confidentiality will be maintained where possible

Certain cases (e.g., abuse involving minors) must be reported to authorities.


4.7 Interim Measures

The organization may impose temporary measures:

  • Suspension from training or events
  • Restrictions on duties

4.8 Discipline & Sanctions

Possible outcomes include:

  • Verbal or written warning
  • Mandatory training or education
  • Suspension
  • Expulsion or removal from position

Sanctions must be:

  • Proportionate
  • Documented
  • Consistent

4.9 Appeals

  • Individuals may appeal decisions within a specified timeframe (e.g., 14 days)
  • Appeals must be reviewed by an independent party

4.10 Record Keeping

  • All complaints and decisions will be documented and stored securely
  • Records may be shared with governing bodies when required

5. SAFE SPORT & MEMBER PROTECTION

CKKA is committed to:

  • Providing a safe, abuse-free training environment
  • Following best practices used by Canadian sport bodies

Key Measures:

  • Screening of instructors (background checks where appropriate)
  • Clear instructor-student boundaries
  • Supervision of minors
  • No private closed-door training sessions with minors

6. ANTI-HARASSMENT & EQUITY POLICY

CKKA prohibits:

  • Discrimination based on race, gender, age, religion, ability, or background
  • Harassment or bullying of any kind

All members have the right to:

  • Train in a safe and inclusive environment
  • Be treated with dignity and respect

7. VOLUNTEER & INSTRUCTOR STANDARDS

All instructors must:

  • Maintain appropriate qualifications and rank
  • Teach safely and responsibly
  • Act as role models

Volunteers must:

  • Follow organizational policies
  • Respect confidentiality

8. FINANCIAL & ETHICAL MANAGEMENT

To align with nonprofit best practices:

  • Transparent financial reporting
  • Proper handling of funds and expenses
  • No personal use of organizational assets
  • Board oversight of finances

Financial mismanagement is grounds for removal.


9. PRIVACY & CONFIDENTIALITY

  • Personal information must be protected
  • Only authorized individuals may access sensitive data
  • Information must not be shared without consent (except where required by law)

10. POLICY ENFORCEMENT & REVIEW

  • Policies apply equally to all members
  • Violations will result in disciplinary action
  • Policies will be reviewed annually

Failure to enforce policies can create legal and governance risks
